Administrative Assistant – Group Human Resources

A very large financial institution in the Caribbean is looking for an Administrative Assistant.

Job Description and Qualifications

  • Provide administrative support to the Human Resources Department, particularly the Senior Vice President of Human Resources, at a level that will enhance the effective and efficient operation of the SVP’s office and the GHR department.
  • Bachelor’s degree in Human Resource Management, Management Studies or equivalent qualification from a recognised tertiary institution
  • Three (3) years working experience in Human Resources or in a Senior Administrative role in a corporate or financial institution
  • CPS certification would preferred 
  • Experience in Payroll Administration would be an asset
  • Basic knowledge of Labour Relations Laws and Industrial Relations practice
  • Ability to communicate effectively both orally and in writing 
  • Excellent human relations skills
  • Ability to produce reports
  • Sound knowledge of computer software packages including MS PowerPoint, word processing and spreadsheet applications
  • Play the lead role in the administrative activities for the office of the Senior Vice President of Human Resources:
    • Set department’s appointments, manage calls, receive visitors, and prepare correspondences for the Vice President’s signature.
    • Generate monthly anniversary and birthday reports;
    • Coordinate activities relating to the cellular phones within the Closed User Group including bill reconciliation.
    • Process payment of phone bills for Executives, department CUG Bills and TV Bills
    • Process payment of Credit Card for the Senior Vice President
    • Schedule discussions with all retirees
    • Prepare long service bonus letters
    • Prepare and maintain Senior Leadership Organization Charts, as well as GHR Organization Charts, and telephone extension listings
  • Contribute to the effective management of all payments related to the office of the SVP:
    • Prepare payments for HR-Related functions, HR suppliers, and consultants;
    • Prepare payments and maintain control sheets for company paid memberships in social and professional organisations for all Presidents, Vice Presidents and Assistant Vice Presidents;
    • Process entertainment and club subscriptions for all Executives.
  • Assist in coordinating and promoting various special projects and social events:
    • Schedule and coordinate meetings and projects;
    • Prepare contracts for suppliers.
  • Contribute to and participate in the preparation of compensation information.
    • Compile monthly payroll adjustments for submission to Manager – HR Strategy & Compensation.
    • Prepare weekly & monthly payroll adjustments.
    • Prepare salary recommendations for temporary to permanent movements, honorarium calculations and other compensation data for temporary staff.
    • Maintain compensation data for temporary staff.
  • Coordinate annual LOMA Employee Opinion Survey Process and analyze results:
    • Liaise with LOMA and provide necessary information for preparation and distribution of annual survey;
    • Prepare reports on Survey Results for company as well as individual departments;
  • Assist in compiling strategic human resources reports as requested by the SVP, Group Human Resources.
  • Perform other related duties assigned from time to time.
